As the Receptionist/Office Coordinator at Apex, you’ll be the first face our visitors see and the behind-the-scenes engine keeping our office running smoothly. From greeting clients to coordinating conference room schedules, managing office supplies and snacks, and helping with company events, you’ll play a big role in maintaining a welcoming, high-functioning workplace. This is a people-facing, detail-driven role based out of our facility in Playa Vista, CA.
Responsibilities
Greet and assist visitors, candidates, and vendors to ensure a professional and friendly experience
Assist in ordering and setting up catering and supplies for meetings and company events
Stock and maintain break room food at both Apex Factory One and Beethoven
Manage conference room bookings, including resolving double bookings and approving room requests
Coordinate with vendors for service and support needs - including daily lunch delivery, coffee machine maintenance and food deliveries
Serve as backup support for security during breaks and deliveries
Receive and distribute deliveries and mail
Take on other tasks as assigned to support the daily operation of the office
Other duties as assigned
Requirements
All applicants must be a U.S. Person
Prior experience in an administrative, receptionist, or office support role preferred
Friendly and professional demeanor with strong interpersonal and customer service skills
Comfortable handling light physical tasks, including lifting and carrying packages up to 25 lbs.
Highly organized with attention to detail and a knack for juggling multiple tasks
Comfortable using office tools and systems (e.g., Microsoft Office)
Flexible, resourceful, and happy to roll up your sleeves for whatever’s needed
