The Valuations Coordinator is a high-impact individual contributor responsible for owning the execution of appraisal operations across the full lifecycle — from order placement through report delivery. This role plays a critical part in ensuring deals move efficiently by maintaining strong pipeline management, proactive follow-up, and real-time visibility across all valuation activity.
This is a hands-on, operations-driven role focused on execution, organization, and accountability. The Valuations Coordinator is not responsible for valuation analysis or market decisions, but instead ensures that all appraisal workflows are completed accurately, on time, and without gaps. This person is expected to proactively manage a high-volume pipeline across multiple vendor platforms while keeping internal stakeholders fully informed.
Beyond day-to-day execution, this role will help strengthen the valuations function by driving consistency, improving workflows, and ensuring scalable processes as volume grows.
This position reports to the Valuations Lead and offers the opportunity to play a key role in scaling a critical function within a fast-growing, tech-enabled real estate lender. This is a remote role, with occasional travel required (company offsites, etc.).
Own the placement of appraisal orders across multiple platforms , ensuring all orders are accurate, complete, and submitted in a timely manner. You will be responsible for selecting the appropriate products and ensuring clean intake to minimize downstream issues.
Actively manage and monitor a high-volume pipeline of appraisal orders (both pre-close and post-close) across multiple vendor systems. This includes daily follow-up on all active files to ensure continuous progress and prevent any orders from becoming stagnant.
Maintain real-time updates in HubSpot and other systems, ensuring all status changes, communications, and risks are clearly documented. Your work will provide full transparency to processors and internal stakeholders without the need for additional follow-up.
Monitor and enforce SLAs across all appraisal orders, including the 2-day SLA, and proactively identify delays, vendor issues, or DQAs. You will escalate risks early with clear context to avoid downstream impact on underwriting or closing timelines.
Ensure completed appraisal reports are properly received, documented, and handed off for review. This includes tagging reports, confirming file completeness, and maintaining clean, organized documentation.
Serve as the primary point of contact for processors on valuation status, providing timely updates, resolving blockers, and helping keep deals moving efficiently.
Contribute to operational consistency by following standardized processes and identifying opportunities to improve workflows as volume scales.
2+ years of experience in appraisal coordination, valuation operations, or a similar role within a lending environment or AMC. Candidates should have a strong understanding of the appraisal lifecycle, including order placement, vendor management, and report delivery.
Experience working across multiple appraisal platforms or AMCs simultaneously, with the ability to manage a high volume of active files without losing control of pipeline or detail.
Highly organized and execution-focused, with a demonstrated ability to manage competing priorities and maintain consistent follow-through across all tasks.
Strong attention to detail, with the ability to ensure accuracy in order placement, documentation, and system updates to prevent downstream issues.
Clear and effective communicator, particularly in written form, with the ability to document status updates, risks, and next steps in a concise and actionable way.
Comfortable operating in a fast-paced, high-growth environment where priorities may shift and processes continue to evolve.
Experience working in HubSpot or similar CRM systems is preferred.
1+ year of experience working in a remote or distributed environment is preferred.
Self-directed and accountable, with a strong sense of ownership over outcomes and a proactive approach to problem-solving.
You consistently place accurate appraisal orders quickly and without rework, ensuring clean intake across all files. Your pipeline is always current, actively managed, and free of stalled orders due to missed follow-up.
Stakeholders have full visibility into valuation status at all times through your clear and timely system updates. SLAs are consistently met, and any risks or delays are identified and escalated early.
Completed reports are handed off cleanly and efficiently, reducing friction for processors and underwriting. Your work enables faster deal velocity and allows senior team members to focus on higher-value valuation decisions.
You adopt AI into your workflow and are eager to find tech forward ways to gain efficiency.
