Outcapped GmbH is hiring an Operations Lead to own and drive operational systems for mission-driven startups across AI safety, global development, and adjacent fields.
This is a high-ownership role focused on building and improving systems across multiple domains including tooling, finance, compliance, and internal workflows. You will partner closely with founders, identify bottlenecks, and implement scalable solutions.

What We Do
Outcapped is an operations agency that frees mission-driven founders from back-office work. We are also building a platform with a library of 150+ vetted SOPs and an AI-powered workflow builder to standardize and automate finance, HR, legal, and IT tasks.
Systems ownership: Design and maintain scalable systems across tools such as Notion, Airtable, and Google Workspace. Establish data structures, permissions, and QA processes. Own automation from concept to rollout.
Tool strategy and implementation: Evaluate, select, and implement SaaS and AI tools. Lead integrations and workflow design that materially improve efficiency.
Process design and documentation: Build SOPs, playbooks, and internal systems from scratch. Standardize processes and ensure documentation is actually used.
Finance and compliance ownership: Oversee bookkeeping workflows and reporting accuracy. Manage compliance processes, filings, and vendor relationships.
Web and operational infrastructure: Oversee website and content systems as part of broader operational infrastructure.
Client and internal leadership: Act as an operational partner to founders. Identify bottlenecks and implement solutions.
Support and guide more junior operators when needed.
4+ years of operations experience in startups, agencies, or similar environments
Experience owning multiple operational domains such as systems, finance, compliance, or tooling
Track record of building and improving systems across multiple organizations or contexts
Strong judgment and prioritization skills
Excellent written and verbal English communication
High ownership mindset and ability to operate independently
Deep expertise in a specific area such as Finance, HR, IT, or Recruiting Operations
Strong experience with no-code and automation tools such as Airtable, Zapier, or Make
Experience working with early-stage or mission-driven organizations
Interest in AI tools and workflow automation

We set compensation case-by-case based on role scope, experience, availability, and location.
€40–55 per hour, full-time equivalent €70–110k per year. This range is a guidance, not a fixed bracket
Time commitment: This is a full-time role.
Contract setup: We are open to employment through an EOR, direct employment (Germany only), or a contractor relationship.

Remote-first: Work from anywhere with 3–4 hours overlap with CEST (9 AM to 6 PM) and 3–4 hours overlap with Pacific time three days per week.
